General Logistic Info for Exhibition 2025

This page will provide latest updated information for Exhibitors and those planning to exhibit. This information supersedes other logistic information shared elsewhere if there is a conflict of info.

APHM International Healthcare Exhibition 2025

Date of Event 9 -11 June 2025 (Monday-Wednesday)
Venue Exhibition Halls 3, 4 & 5, Ground Floor, Kuala Lumpur Convention Centre (KLCC)

(i) SHELL SCHEME (Booth Size: 3m x 3m)

Inclusive of :

 White laminated plywood panel system

Fascia board with cut out vinyl sticker for company name & booth number

Needle punch carpet flooring

2 units fluorescent light

1 unit 13amp power point

✔ 1 unit information counter

✔ 2 units folding chairs

1 unit waste paper basket

(ii) BARE SPACE (Booth Size: 3m x 3m)

✔ You do your own booth design. Totally bare, no needle punch carpet flooring, no panel, no furniture..

Every registered and confirmed exhibitor is entitled to:

✔ Complimentary write-up in the eSouvenir Programme, of the exhibitor’s products and services (250 words for every company confirmed)

✔ The write-up and your organization’s logo will also be uploaded to our website

✔ Listed in the Event App (where applicable)

✔ 15 % discount for Conference seats (based on non-member rates)

✔ 15 % discount for advertisements in the eSouvenir Programme (to be announced)

 Others (where applicable) as announced at our official website on logistics for exhibitors

Things to take note:

✔ Please refer to the floor plan for each of the different zone booth pricing rates. (All rates subject to 8% SST).

We also have group offers/ member rates/ loyalty rates. (All terms and conditions apply as provided in the Exhibition Brochure).

✔ Booth selection system is on a first payment received basis. Payment terms as per below. Priority given to those with deposit paid and booking is confirmed. (Sufficient notice will be given before releasing)

✔ Loyalty 10% discount for 2024 Exhibitors only. (valid until 31 Oct 2024 only)

✔ Organiser reserves the right to confirm final booth selection. 

 

 

Payment Terms

1. Deposit of RM5,000/US$2000 per booth is required to secure your booking (within 14 days from date of invoice). Balance payment is required by 15 April 2025. The organiser may choose to cancel your reservation if no payment is made within 14 days, especially if another exhibitor wishes to book your selected booths.

2. Exhibitor to bear all cost of bank charges for all bank transfers or TTs. Online payment or credit card payment may incur admin charges.

Closing Date

 

Closing Date for booking is 15 April 2025 and full payment must be received by 30 April 2025. Any extension is at organiser’s discretion.

 

 

Cancellation Charges

 

The following cancellation charges will be imposed for every booth cancelled, according to the following schedule:

Note that terms of cancellation charges apply once booking is received, regardless if deposit is made unless prior arrangements or agreement is made with the organiser.

 

The Organizer reserves the right to cancel or shorten the APHM 2025 in the event of any unforeseen circumstances, which are beyond the control of the Organizer. If the event is cancelled by the organizer, then all payments made to Organizer shall be refunded, or transferred to future events. No other claims or compensation will be entertained.

Cancellation fees may apply after this.

They can choose to transfer to 2026.

30 March – 29 April 2025

(regardless of date of invoice or date of booking)

50% of booth cost

After 30 April 2025

(regardless of date of invoice or date of booking)

100% of booth cost

 

 

Additional Equipment and Electrical Fittings

 

Additional items may be ordered from the Official Exhibition Contractor. Order dateline  as provided in Logistic Manual. 50% surcharge is applicable after dateline and 100% surcharge for on-site orders (subject to availability). The Exhibitors’ Logistics Manual, inclusive of order forms for additional equipment and electrical fittings will be given to confirmed exhibitors.

 

 

 

Set-up Time

 

2:00 pm to 8:00 pm on 8 June 2025 (Sunday) – to be reconfirmed nearer to event’s date

 

 

Dismantling Time

 

5.00 pm – 8.00 pm on 11 Jun 2025 (Wednesday) – to be reconfirmed nearer to event’s date

 

 

Trade Viewing of Exhibition

 

Please note that Exhibition will be open for trade viewing as follows:

9 – 11 June 2025 9.30 am to 5.00 pm

 

Liability/Insurance

 

Although the Organisers will do its utmost to ensure the security of the area, they shall not be held responsible in the event of any loss or theft of exhibitors’ belongings. All exhibitors are responsible to ensure that their items are adequately insured.

 

 

 

Official Exhibition Contractor

 

Exhibitors who have booked bare space and who will be doing independent stand constructions are required to get their contractors to liaise with the Official Exhibition Contractor, Newfair (Malaysia) Sdn. Bhd. We will send to confirmed exhibitors, the rules and regulations pertaining to bare space construction.

Services from KL Convention Centre for Exhibitors ONLY.

The Kuala Lumpur Convention Centre’s Exhibition Services is located on the ground level of the foyer, next to Exhibition Hall 2. Exhibitors are able to order services such as audio-visual equipment, food and beverage, communication lines, cleaning services, water and waste facilities and compressed air through Exhibition Services. You can now order online and payment must be received prior to the Event to ensure services are delivered as required.
